About the role
We are seeking an Assistant to General Manager to join our team in Bali on a casual basis. This is a pivotal administrative and support role that will work closely with the General Manager to ensure smooth operations and enhanced productivity across the organization. As Assistant to General Manager, you will be the key point of coordination between senior management and various departments, providing comprehensive administrative support that enables effective decision-making and strategic implementation. Your organizational skills and professionalism will be essential in managing the day-to-day operational demands of this fast-paced business.
Key responsibilities
Providing comprehensive administrative support to the General Manager, including scheduling meetings, managing calendars and coordinating appointments
Preparing and organizing meeting agendas, taking minutes and distributing documentation to relevant stakeholders
Managing correspondence, including emails, letters and phone communications on behalf of the General Manager
Maintaining and organizing files, records and documentation to ensure easy access and compliance with company procedures
Coordinating communication between the General Manager and various departments to facilitate operational efficiency
Assisting with the preparation of reports, presentations and other executive documents
Managing office supplies and equipment, ensuring adequate stock and proper maintenance
Supporting special projects and initiatives as assigned by the General Manager
Greeting visitors and clients professionally and directing them appropriately
Performing general clerical duties including data entry, filing and document processing
What we're looking for
A talented professional Female with pleasant personality
The position will be placed in Bali and willing to travel
Proven experience working as an executive assistant, personal assistant or in a similar administrative support role
Exceptional organizational and time management skills with the ability to manage multiple priorities and deadlines
Strong written and verbal communication skills in English, Chinese and Bahasa Indonesia
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other standard office software
Excellent attention to detail and accuracy in all work tasks
Discretion and ability to handle confidential information with professionalism
Professional demeanor with strong interpersonal skills and ability to work effectively with diverse stakeholders
Flexibility and adaptability in a dynamic, fast-paced environment
Problem-solving mindset with the ability to take initiative and work independently
Knowledge of the hospitality or culinary industry is advantageous but not essential
