About the role

PT Universal Energy Pratama is seeking a dedicated and organised Secretary to join our administrative team in Surabaya, East Java. This is a full-time position that plays a vital role in supporting the smooth operation of our organisation. As Secretary, you will be the backbone of administrative operations, providing essential support to management and ensuring that all office functions run efficiently. This role is instrumental in maintaining professional standards and facilitating effective communication across the company.

What you'll be doing

  • Managing and organising executive calendars, scheduling meetings, and coordinating appointments with internal and external stakeholders

  • Preparing and formatting correspondence, reports, presentations and other documents in a professional manner

  • Handling incoming and outgoing communications, including emails, phone calls and postal mail

  • Maintaining accurate and up-to-date filing systems, both digital and physical, ensuring confidential information is properly stored

  • Providing administrative support to senior management, including research, data compilation and report preparation

  • Organising and coordinating meetings, conferences and events, including arranging venues, catering and travel arrangements

  • Taking minutes and maintaining records from meetings and important discussions

  • Managing office supplies inventory and liaising with suppliers to ensure adequate stock levels

  • Supporting human resources with basic administrative tasks such as employee records management and scheduling

  • Greeting visitors and clients in a professional and courteous manner

What we're looking for

  • High school diploma or equivalent qualification; further education or administrative certification is advantageous

  • Proven experience working as a Secretary, Administrative Assistant or in a similar administrative role

  • Exceptional organisational and time management skills with the ability to prioritise multiple tasks effectively

  • Strong written and verbal communication skills in Indonesian and English

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general computer literacy

  • Excellent attention to detail and accuracy in all work undertaken

  • Professional discretion and ability to handle confidential information with integrity

  • Strong interpersonal skills and ability to work collaboratively with colleagues at all levels

  • Ability to work independently and use initiative to solve problems

  • Flexibility and adaptability in a fast-paced office environment
