Key Responsibilities
Manage the daily administrative operations of the project office, including office supplies, telecommunications, meeting arrangements, document control, courier services, and fixed asset management.
Assist Chinese employees in processing work permits, residence permits, tax registrations, immigration procedures, and other administrative requirements for working in Indonesia.
Support the recruitment of Indonesian employees and manage onboarding documentation, employment contracts, attendance records, leave administration, and employee separation procedures.
Assist with the registration and administration of BPJS Kesehatan, BPJS Ketenagakerjaan, and other statutory employment requirements for Indonesian employees.
Arrange and supervise employee accommodation, catering, transportation, drinking water, housekeeping, security services, and other welfare facilities.
Manage project vehicles, driver scheduling, vehicle requests, fuel expenses, parking fees, insurance, and maintenance records.
Coordinate airport transfers, hotel reservations, business receptions, meetings, and project-related events.
Manage the receipt, distribution, filing, translation, and circulation of documents in Bahasa Indonesia, English, and Chinese.
Support the Finance Department with petty cash purchases, petty cash management, administrative expense reimbursements, and supplier payment documentation.
Maintain an emergency contact directory, including hospitals, police stations, fire departments, immigration offices, vehicle recovery services, and key project suppliers.
Handle employee welfare concerns, labor relations communication, and cultural differences to maintain a stable and harmonious working environment.
Strictly protect employees' personal information, company business data, and confidential project information.
Key Local Competencies
Familiar with administrative procedures, human resources practices, immigration matters, accommodation services, transportation, and local support services in Jakarta.
Good understanding of Indonesian employment contracts, attendance management, payroll documentation, and BPJS administration procedures.
Able to communicate independently in Bahasa Indonesia with government authorities, landlords, suppliers, and local employees.
Good English communication skills are required; Chinese communication or translation skills are an advantage.
Proficient in Microsoft Office with strong documentation, expense tracking, organizational, and coordination skills.
Previous experience in administration and logistics for Chinese-invested companies, construction projects, or industrial projects is preferred.
