Manage end-to-end contract and tender activities across multiple factories, ensuring smooth coordination and compliance with company policies.
Oversee the full contract lifecycle, including drafting, reviewing, revising, and archiving contracts. Manage different contract types such as annual (master) contracts, addendums for extensions or amendments, and tender-based contracts with defined terms, quantities, and pricing.
Ensure proper contract documentation, maintain organized records, and track pending contracts with clear reporting and follow-up actions.
Coordinate and execute the full tender process, from preparation through completion and reporting, including:
- Developing tender timelines and ensuring alignment with internal schedules
- Collecting and verifying supplier legal documents and certifications
- Communicating tender announcements to suppliers in a timely manner
- Managing bidder participation and ensuring completeness of required documents
- Coordinating with internal teams to confirm scope and quantity requirements
- Distributing tender guidelines and pricing submission templates
- Collecting and consolidating supplier quotations within required deadlines
- Supporting evaluation and communicating tender results to participants
- Preparing and finalizing contracts with awarded suppliersPrepare internal memos and documentation, including drafting, reviewing for accuracy and clarity with supervisors, distributing finalized documents, and maintaining proper filing in shared systems.
Job Requirement
Bachelor’s degree in a relevant field
Proven 3 years experience in tendering, procurement, or contract management
Basic understanding of contract and tender processes
Strong communication and coordination skills
Detail-oriented with strong organizational abilities
Able to manage multiple tasks and meet tight deadlines
Proficient in Microsoft Office (Excel, Word)
Fluency in English is required; Mandarin is an advantage
Willing to be placed in Pantai Indah Kapuk
