The Technical Coordinator is responsible for coordinating communication and operations between the office and the Technical Department to ensure the efficient scheduling of repairs, preventive maintenance, and service activities. The role also oversees the monitoring of technical equipment inventory, assists in the preparation and processing of job orders, and ensures that all technical documentation is complete and accurate
Key Duties and Responsibilities
1. Service Coordination
- Coordinate repair, installation, preventive maintenance, and service schedules between customers, the office, and technical personnel.
- Assign and monitor daily service schedules to ensure timely completion of work.
- Communicate schedule updates, changes, and customer requirements to technicians.
- Follow up on pending service requests and ensure timely resolution.
2. Job Order Administration
- Prepare, process, and monitor Job Orders (JOs) for all technical service activities.
- Ensure all required documents, reports, and customer acknowledgments are complete.
- Update the status of ongoing and completed job orders.
- Maintain organized records of all service documents.
3. Inventory Management
- Monitor inventory levels of technical equipment, tools, spare parts, and consumables.
- Coordinate the issuance and return of tools and equipment used by technicians.
- Conduct regular inventory checking and reconciliation.
- Report shortages, damaged items, and replenishment requirements to management.
4. Technical Support Coordination
- Assist technicians by preparing necessary documents, service forms, and materials before field assignments.
- Coordinate with the Warehouse regarding the availability of spare parts and equipment.
- Ensure technicians receive the necessary resources before deployment.
5. Documentation and Reporting
- Maintain accurate records of service schedules, job orders, inventory, and technical reports.
- Prepare weekly and monthly reports on service activities and equipment utilization.
- File and organize technical documents for future reference.
6. Communication
- Serve as the primary liaison between the Technical Department and other departments such as Sales, Warehouse, Logistics, and Administration.
- Respond promptly to internal inquiries regarding service schedules and technical concerns.
- Coordinate customer updates regarding scheduled repairs and service visits when necessary.
Job Requirements
Qualifications
- Bachelor's degree in Engineering, Industrial Technology, Business Administration, or any related field.
- At least one (1) year of experience in technical coordination, service coordination, inventory management, or a related role is an advantage.
- Proficient in Microsoft Office applications, particularly Excel and Word.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Detail-oriented with good documentation and record-keeping skills.
