A receptionist is the first point of contact for visitors and customers. Their duties and responsibilities typically include:
- Greeting and welcoming visitors in a professional and friendly manner.
- Answering, screening, and directing phone calls.
- Managing the reception area and ensuring it is clean and organized.
- Scheduling appointments and maintaining calendars.
- Receiving, sorting, and distributing mail and deliveries.
- Responding to customer inquiries and providing accurate information.
- Maintaining visitor logs and issuing visitor passes when required.
- Performing basic administrative tasks such as filing, photocopying, scanning, and data entry.
- Handling incoming and outgoing correspondence, including emails.
- Coordinating meeting room bookings and preparing meeting spaces.
- Assisting other departments with clerical and administrative support.
- Maintaining office supplies and placing orders when necessary.
- Ensuring confidentiality of company and client information.
- Following company policies and providing excellent customer service.
