Job description:

Primary Objective of Position:

The Leasing and Property Supervisor is responsible for the effective management, leasing, and operational oversight of the company's properties. The role ensures optimal occupancy rates, timely rent collection, proper maintenance of facilities, positive tenant relations, and compliance with company policies and applicable regulations. The position requires regular site visits and travel to Company properties nationwide as necessary. The position may be assigned responsibilities involving properties and real estate operations of the Company, its subsidiaries, affiliates, and related entities as may be required by Management.


Duties and Responsibilities:

Leasing and Occupancy Management

  • Market and promote available properties for lease.
  • Conduct property viewings and respond to leasing inquiries.
  • Process lease applications and tenant screening requirements.
  • Prepare, coordinate, and monitor lease agreements and renewals.
  • Ensure vacant units or properties are leased within target timelines.
  • Maintain accurate records of occupancy, vacancies, and leasing activities.
  • Monitor lease expirations and initiate renewal discussions with tenants.


Rent Collection and Tenant Account Management

  • Monitor rental payments and ensure timely collection of rent and other charges.
  • Follow up on overdue accounts and coordinate collection efforts.
  • Prepare and maintain rental billing and collection records.
  • Coordinate with Finance and Accounting regarding tenant receivables and payment concerns.
  • Assist in resolving tenant billing disputes and payment-related issues.


Property Operations and Maintenance

  • Conduct regular inspections of properties to ensure cleanliness, safety, and proper maintenance.
  • Coordinate repairs, preventive maintenance, and improvement projects.
  • Monitor service providers, contractors, and maintenance personnel.
  • Ensure prompt resolution of tenant maintenance requests and concerns.
  • Recommend property improvements and cost-effective maintenance solutions.


Portfolio Oversight and Site Monitoring

  • Monitor and oversee the condition, occupancy, and operational requirements of PRDC properties nationwide.
  • Conduct regular site inspections and property audits to ensure compliance with Company standards and operational requirements.
  • Assess property performance and recommend improvements to maximize occupancy, profitability, and tenant satisfaction.
  • Coordinate with branch personnel, contractors, service providers, and tenants regarding property-related concerns and projects.
  • Prepare inspection reports and recommendations for Management.
  • Maintain updated records of all properties, tenants, lease contracts, occupancy rates, and operational concerns.


Tenant Relations

  • Serve as the primary point of contact for tenants regarding operational concerns.
  • Address tenant complaints, requests, and inquiries in a professional and timely manner.
  • Foster positive relationships with tenants to support tenant retention.
  • Ensure compliance with lease provisions, building policies, and house rules.


Administrative and Reporting Functions

  • Maintain accurate records of leases, tenant information, collections, maintenance activities, and property documentation.
  • Prepare regular reports on occupancy rates, rental collections, vacancies, tenant concerns, and maintenance activities.
  • Assist management in developing strategies to improve occupancy, collections, and property performance.
  • Ensure compliance with company policies and applicable government regulations affecting property operations.


Supervisory Responsibilities

  • Supervise and coordinate the work of maintenance personnel, property staff, and service providers as assigned.
  • Monitor work performance and ensure service standards are maintained.


Qualifications

· Bachelor's degree in Business Administration, Real Estate Management, Property Management, Engineering, or a related field.

· At least 2–3 years of experience in property management, leasing, real estate operations, or a related role.

· Strong knowledge of leasing processes, tenant relations, rent collection, and property maintenance.

· Excellent communication, negotiation, and customer service skills.

· Proficient in Microsoft Office applications and property management systems.

· Ability to work independently and manage multiple properties and priorities.

· Must be willing and able to travel nationwide as required by operational needs.

· Work Schedule: Monday-Saturday, 8am to 5PM

Others:

· Performs other related duties and responsibilities that may be assigned from time to time, as necessary for the efficient operation of the company and consistent with the employee’s position and qualifications.

· Undertake such additional functions, assignments, and responsibilities as may be required by Management in support of the business operations, strategic objectives, and operational requirements of the Company, its subsidiaries, affiliates, related entities, and other companies under common ownership or control.


Ability to commute/relocate:

  • Quezon City: Reliably commute or planning to relocate before starting work (Preferred)
