Cruise Crewing and Coordination Executive

Job Description:

• Coordinate all necessary arrangements for crew changes, including securing visas, booking hotels, arranging transport, and managing related services. Maintain close collaboration with internal departments, local branches, and sub-agents.

• Collate and organize all crew change information and requirements to ensure full compliance with company policies and documentation standards.

• Coordinate with local branches and sub-agents to gather future port costs and tariffs, ensuring all data is accurately entered into the Principal’s forecasting systems.

• Communicate with port teams, vessel operators, Masters, and offshore teams to ensure smooth execution. 

• Oversee the collection of port information, tariffs, costs, and other relevant data regarding local port cruise activities from branches and sub-agents.

• Assist in processing the Principal’s port booking requests across both Principal and Port booking systems, keeping the company's internal schedule fully updated.

• Systematically organize all collected data within the company’s online database and/or digital storage facilities. Assist with precise data entry and quality checking in Port360 and OneNote.

• Provide operational support to Cruise Coordinators to ensure the successful management of the Principal’s vessels.
  

Job Qualification:

• Minimum Diploma in Maritime Studies, Logistics, Business, or related field preferred. ICS or related industry certification (completed or in progress) is an asset.

• Min. 2 years of experience in vessel agency, logistics coordination, or related maritime/transportation roles preferred.

• Familiarity with crew changes (Sign On / Sign Off), CTM handling, visa processes, and port logistics.

• Good English verbally as well as written.

• Thrives in a fast-paced environment and possesses the flexibility to work extended hours during high-volume periods.

• Experience with vendor coordination and time-sensitive operational tasks is beneficial.

• Clear and effective communication with Masters, operators, vendors, and internal teams.

• Familiarity with CargoWise, Port360 or experience working within similar logistics/operational platforms is highly desirable.

• Experience with process automation, workflow optimisation, or automation tools is considered a valuable asset and will be highly regarded.
