Job description
As an Administrative Officer, your role is pivotal in providing crucial administrative and
clerical support to the organization. Here Your duties include various tasks aimed at ensuring
the smooth operation of office functions and adherence to organizational policies.
responsibilities:
ADMIN OFFICER RESPONSIBILITIES
- Manage the inventory of office supplies, ensuring adequate stock levels, and place orders
as needed to maintain supplies twice a month or as necessary.
- Manage the issuance of all company items needed by employees and newly hired
individuals, such as uniforms, IDs, ID laces, and other related items. Ensure proper
documentation with the release of an Accountability form for newly issued company items
and track their return upon the employee's departure or end of use.
- Maintain the confidentiality and security of files and filing systems, safeguarding sensitive
information and documents.
- Update and maintain a comprehensive list of all company-issued items, such as laptops,
cellphones, uniforms, and other necessary equipment for newly hired employees.
- Assist employees with any issues related to company-issued items, offering prompt
resolution and support.
- Coordinate, organize, and manage schedules for sales, drivers, and operational activities
related to company vehicles. Additionally, approve or reject leave applications of company
drivers and implement necessary arrangements for temporary replacements or schedule
adjustments.
- Provide orientation to newly hired employees on administrative matters, including
company vehicle policies, cash requests/payments, liquidation processes, allowance
policies, and company phone rules.
- Collaborate with branch administrators to facilitate the clearance and turnover of
company-issued items for outgoing employees. Coordinate with them regarding rental
agreements or parking arrangements for company vehicles.
- Support the HR department in ensuring strict adherence to company policies, particularly
at the main office.
- Handle departmental requests for gadgets for new hires or replacements, ensuring the
functionality of necessary office equipment, and requisitioning new equipment and
supplies as needed.
- Maintain and update company databases for all company properties, ensuring accuracy
and accessibility of information.
- Supervise company drivers, ensuring adherence to safety protocols and efficient
transportation operations.
- Offer assistance in organizing events by ordering materials and requisitioning additional
office supplies as required.
- Address concerns related to company rentals, including house rentals for newly hired
employees, water and electricity bills, appliances, parking rentals, and other necessities.
- Conduct thorough checks of all company-issued items before signing clearance for
outgoing employees, including verifying the presence of passwords on issued laptops and
cellphones.
- Prepare and submit monthly reports to the HR Head regarding updates on company-issued items, remaining or lacking items, challenges, areas for improvement, and
accomplishments.
